This Privacy Policy explains how Proofly handles information when you use the Proofly mobile application and related support pages. Proofly is operated by Thicle Sarl-S (“Thicle,” “we,” “us,” or “our”).

Short version: Proofly is designed as a local-first app. Your receipts, documents, attachments, purchase records, deadlines, and reminder data are intended to stay on your device by default. When you use AI receipt extraction, the receipt image is sent for processing so extraction can be performed, but Proofly does not aim to become a permanent storage service for your documents.

2. Information processed by Proofly

2.1 Information stored on your device

Proofly is designed so that the following information is stored locally on your device by default:

purchase records and purchase details;
receipt images, PDFs, and other attachments;
merchant names, totals, dates, currencies, and categories;
deadlines, reminder settings, and outcomes;
local app preferences and an app-specific identifier used by the app.

2.2 Information sent to our backend

To support AI receipt extraction and usage metering, Proofly may send limited information to our backend services, including:

an app-specific identifier used to apply plan limits and usage counting;
plan and entitlement-related information needed to determine Free or Pro limits;
receipt image data when you use AI receipt extraction;
minimal operational metadata needed to process extraction requests or diagnose failures.

2.3 Information used for AI receipt extraction

If you use AI receipt extraction, the receipt image you choose to process is sent for extraction so structured fields can be returned to the app for your review.

That may include information visible on the receipt, such as merchant name, date, totals, tax amounts, currency, and line items.

3. How we use information

store and display your purchase records and receipt attachments on your device;
run AI receipt extraction when you request or trigger that feature;
enforce plan limits, such as the number of AI extractions available under Free or Pro;
restore and reflect subscription status in the app;
provide support and troubleshoot technical issues;
comply with legal obligations and protect the service from abuse.

4. Local-first design and document handling

Proofly is intended to be a local-first app. We do not intend to permanently store your receipts or other attachments on Proofly-owned servers as part of ordinary use.

When AI extraction is used, receipt image data may be transmitted for processing. Our goal is to process the request and return extracted structured data to the app without turning Proofly into a document-storage service.

5. AI processing

Proofly offers AI-powered receipt extraction. When this feature is used, receipt images may be processed by external AI infrastructure used to perform extraction.

AI extraction is intended to reduce manual entry, but results may not always be perfect. You remain responsible for reviewing extracted information before applying it to a purchase record.

6. Legal basis

Where applicable law requires a legal basis, we rely on one or more of the following:

performance of our contract with you;
our legitimate interests in operating, securing, and improving Proofly;
your consent where required; and
compliance with legal obligations.

7. Processors and service providers

We may use third-party service providers to operate Proofly. Based on the current stack, those may include:

Apple for App Store subscriptions, payments, and platform services;
Vercel for backend hosting and deployment infrastructure;
Neon for database infrastructure used for plan and usage metering;
OpenAI for AI receipt extraction processing.

These providers may process limited information as needed to provide their services.

8. Retention

Because Proofly is designed to keep most user content on-device, your receipt images and purchase records are primarily retained by you on your device unless you delete them.

On our side, we aim to keep backend-side data limited to what is necessary to operate AI extraction, plan limits, and support the service. Operational metadata may be retained for troubleshooting, abuse prevention, accounting, or legal compliance for an appropriate period.

9. Security

We use reasonable technical and organizational measures to protect information processed by Proofly. However, no method of transmission, storage, or processing is completely secure, and we cannot guarantee absolute security.

10. Your choices and rights

Depending on your location, you may have rights regarding personal information, including rights to access, correct, delete, restrict, or object to certain processing, and rights related to portability.

You can also delete local purchase records and attachments directly within the app where the feature is available.

11. Children

Proofly is not intended for children under the age at which consent is required under applicable law, and we do not knowingly design the service to target children.

12. International processing

Depending on the providers used to operate Proofly or process AI extraction, information may be processed outside your country. Where required, we take steps intended to support lawful transfers.

13. Changes to this Policy

We may update this Privacy Policy from time to time. If we make material changes, we may update the effective date above and, where appropriate, provide additional notice.
